Industrial sensors may be small enough to fit inside a carton, but their importance can be far greater than their physical size.

Temperature sensors, pressure transmitters, proximity switches, photoelectric sensors, encoders, flow meters, vibration sensors, and other detection devices are widely used in factories, production lines, warehouses, water treatment systems, power facilities, and automated equipment.

When one critical sensor fails, an entire machine—or even an entire production line—may stop operating. For buyers and manufacturers in Indonesia, receiving the correct replacement components from China quickly and safely is therefore not simply a purchasing issue. It is a production continuity issue.

Accurate Product Identification Comes First

The commercial invoice should not describe the cargo only as “sensor,” “electronic parts,” or “machine accessories.”

A clearer description should identify:

• The sensor type

• Brand and model number

• Primary measuring or detection function

• Intended industrial application

• Voltage and output signal

• Whether the product contains a wireless communication module

• Whether it contains a lithium battery

• Whether it is shipped separately or as part of machinery

Product catalogues, technical datasheets, photographs, and user manuals can help the Indonesia customs broker confirm the product function before shipment. The commercial invoice, packing list, transport document, and product-identification documents should be consistent with one another.

HS Classification Cannot Be Based on the Word “Sensor” Alone

There is no single HS code covering every industrial sensor.

Classification depends on what the device actually measures or controls, how it operates, and whether its main function is temperature measurement, pressure measurement, flow measurement, electrical switching, gas analysis, position detection, or another type of checking function.

Indonesia uses the BTKI classification system, which is based on the Harmonized System and the ASEAN Harmonized Tariff Nomenclature. The applicable tariff code can affect import duty, taxes, licensing requirements, and customs treatment.

Before issuing the bill of lading or air waybill, the following information should be reviewed:

• Complete product description

• Model and series number

• Measuring function

• Working principle

• Technical specifications

• Materials and components

• Product photographs

• Manufacturer’s proposed HS code

• HS code accepted by the Indonesian importer or customs broker

The Chinese supplier’s HS code should be treated as a reference—not automatically copied into the Indonesian import declaration.

Documents Commonly Required

The final requirements depend on the sensor type, HS classification, importer profile, and intended application. A typical document package may include:

1. Commercial Invoice — The invoice should clearly state the product name, brand, model, quantity, unit price, total value, country of origin, and transaction terms.

2. Packing List — It should show the number of cartons or pallets, net weight, gross weight, dimensions, packing method, and shipping marks.

3. Bill of Lading or Air Waybill — The consignee information, cargo description, package quantity, and weights should be consistent with the commercial documents.

4. Product Catalogue or Technical Datasheet — This helps explain what the sensor measures, where it is used, and how it operates.

5. Purchase Order or Sales Contract — This may be requested to support the transaction value and demonstrate the commercial relationship.

6. Certificate of Origin — Where the goods satisfy the applicable rules of origin, the importer may consider using Form E under the ASEAN–China Free Trade Area. Eligibility and document details should be confirmed before shipment.

7. Importer Information — The consignee should hold the appropriate Indonesian business identity and import permissions for the declared products.

Do Wireless Sensors Require Additional Certification?

Not every industrial sensor requires telecommunications certification.

However, sensors containing Bluetooth, Wi-Fi, cellular, radio-frequency, LoRa, Zigbee, or other wireless transmission functions should be checked more carefully.

Before shipping a wireless sensor, confirm:

• The communication technology used

• Operating frequency

• Transmission power

• Existing Indonesian certificate status

• Certificate holder

• Brand and model shown on the certificate

• Labeling requirements

• Whether the imported model exactly matches the certified model

A certification document for a similar-looking product may not necessarily cover a different model.

Sensors Containing Lithium Batteries

Most basic wired industrial sensors can be shipped as general cargo when they contain no batteries or other regulated materials.

However, wireless monitoring devices, data loggers, tracking sensors, and remote condition-monitoring units may contain lithium batteries.

For air shipments involving lithium batteries installed in equipment, the battery type, Watt-hour rating, packaging configuration, and carrier requirements must be checked before booking. The manufacturer or distributor should also be able to provide evidence that the battery type has passed the applicable UN 38.3 tests.

Depending on the shipment, supporting information may include:

• UN 38.3 test summary

• Battery specification

• Safety Data Sheet

• Watt-hour rating

• Number of batteries per unit

• Battery net weight

• Packing photographs

• Dangerous-goods declaration where applicable

Airlines may impose requirements that are stricter than the general regulations, so carrier acceptance should be obtained before cargo is delivered to the airport warehouse.

Packaging Challenges for Small and Sensitive Components

Industrial sensors are often compact, but they can be vulnerable to impact, moisture, static electricity, connector damage, and mixing of different models.

Recommended packing measures include:

• Individual anti-static bags where necessary

• Protective caps for connectors and sensing heads

• Foam or molded inserts

• Moisture-resistant inner packaging

• Strong export cartons

• Clear model labels on each inner box

• Separate packing for different models

• Palletization for larger consolidated shipments

• “Fragile” and “Keep Dry” markings where appropriate

When multiple suppliers are involved, warehouse staff should count each model separately and compare the cargo with the purchase order before consolidation.

Photographs of the products, labels, inner packaging, outer cartons, and final pallet can provide useful operational records for both the China agent and the Indonesia freight forwarder.

Consistent labeling, secure strapping, and controlled warehouse handling reduce the risk of mixed models and damaged cartons.

Air Freight or Sea Freight?

The correct transport method depends on urgency, shipment volume, cargo value, and production requirements.

Air Freight

Air freight is usually suitable for:

• Emergency replacement sensors

• Production-line breakdowns

• Samples and trial orders

• Small, high-value shipments

• Time-sensitive maintenance projects

The chargeable weight, lithium-battery status, airline acceptance, airport routing, and final delivery requirements should be confirmed before booking.

Sea Freight and LCL

Sea freight may be more economical for:

• Regular replenishment orders

• Larger quantities

• Sensors shipped together with control panels or machinery

• Consolidated cargo from multiple suppliers

• Projects without an urgent production deadline

For LCL shipments, the cartons should be properly protected against pressure, moisture, and repeated handling at warehouses and transshipment points.
