Commercial kitchen projects often contain a mix of standard appliances and made-to-order stainless-steel items. The final cargo list may include products from different manufacturing regions, which makes early supplier coordination and consolidation especially important.

• Cooking equipment: gas or electric ranges, wok ranges, fryers, griddles, grills, steamers, combi ovens, convection ovens, salamanders and induction units.

• Refrigeration and ice equipment: upright refrigerators, freezers, under-counter chillers, display cabinets, blast chillers, ice makers and cold-room components.

• Preparation and processing equipment: mixers, slicers, cutters, grinders, dough machines, food processors, vacuum packing machines and stainless worktables.

• Washing and sanitation systems: dishwashers, glass washers, sinks, sterilizers, waste-handling units, racks and shelving.

• Ventilation and fabricated systems: exhaust hoods, grease filters, ducting, fans, stainless counters, cabinets, trolleys and customized production lines.

Why one project can create many logistics variables

• Different suppliers: Pickup times, packing standards and commercial documents may not match.

Why Commercial Kitchen Equipment Requires Careful Logistics Planning

A kitchen-equipment shipment may look like standard general cargo, but the value is often concentrated in exposed stainless-steel surfaces, glass doors, control panels, compressors and custom-built parts. Damage may not stop the cargo from clearing customs, but it can stop the customer from installing or accepting the equipment.

Import Documentation and Compliance Planning in Indonesia

Destination requirements should be checked before the supplier completes production or final packing. Indonesia Customs states that importers with a valid NIB are treated as having customs registration, and the NIB functions as the company registration, importer identification and customs access. For import clearance, the customs declaration is supported by documents such as the commercial invoice, packing list, bill of lading or air waybill, product-identification documents and any required import approvals.

Commercial kitchen equipment is a broad product group, so import requirements cannot be confirmed from the cargo description alone. The final HS code, product function and technical specification should be checked through Indonesia National Single Window (INSW) to identify any prohibition or restriction requirements. Product-specific SNI, technical, environmental or other approvals may apply to certain electrical, gas, refrigeration or controlled components.

Important compliance note

The importer or licensed customs broker in Indonesia should confirm the final HS classification, Lartas status, applicable SNI or technical requirements, import permits and tax treatment before shipment. Requirements may differ between a stainless worktable, an electric fryer, a gas oven, an ice maker and a refrigeration unit.

 

Recommended Document and Technical File

1. Commercial invoice and detailed packing list. Use accurate product names, model numbers, quantities, unit values, package dimensions, net weight and gross weight.

2. Bill of lading or air waybill instructions. Confirm consignee data, tax information, HS-code presentation and cargo description with the destination agent before issuance.

3. Product catalogue and technical datasheets. Show the equipment function, power, voltage, frequency, materials, dimensions and model information.

4. Model and serial-number list. Match the serial numbers to package numbers, especially for high-value appliances and project acceptance.

5. Special-component declaration. Identify batteries, magnets, liquids, refrigerants, pressurized items, lubricants, gas components or wooden packing.

6. Import approvals when applicable. Provide any product-specific licences, surveyor reports, certificates or conformity documents required by the importer.

7. Certificate of Origin / Form E when eligible. For qualifying China-origin goods under ACFTA, a correctly prepared origin document may support preferential tariff treatment, subject to customs acceptance and the applicable rules of origin.

Packaging Standards: Protect the Equipment, Not Only the Carton

Many suppliers pack equipment for domestic trucking, not for repeated warehouse handling and international sea transport. Before pickup, the packing method should be reviewed against the cargo value, route, equipment structure and handling points.

• Use rigid bases or export skids. The forklift must lift the base without touching doors, panels, compressor housings or adjustable legs.

• Protect stainless-steel surfaces. Keep protective film intact, add foam or corner guards, and prevent metal-to-metal contact inside the crate.

• Brace doors, glass and moving parts. Shelves, trays, burners and internal racks should be secured or packed separately rather than left loose inside the equipment.

• Keep refrigeration units upright. Add clear orientation labels and confirm the supplier’s handling requirements for compressors and refrigerant systems.

• Control moisture. Use sealed inner wrapping, desiccants and ventilation or moisture barriers appropriate to the packing method and transit time.

• Use compliant wooden packaging. Where solid-wood packing is used, confirm applicable treatment and marking requirements, including ISPM 15 where required.

• Create a photo record. Take photos before packing, after packing, during container loading and after sealing. This supports handover control and claims prevention.

Loading control should be planned before the truck arrives

• Equipment base: Confirm that pallet-jack and forklift access points are strong and unobstructed.

• Weight distribution: Place heavy units low and distribute weight across the container floor.

• Securing: Use blocking, bracing and lashing so that units cannot slide, tip or collide during sea transport.

• Loading sequence: Load according to destination unloading and installation priority whenever possible.

• Final evidence: Record package condition, container condition, loading layout and seal number.

 

Choosing the Right Shipping Mode

• FCL for complete projects. A dedicated container reduces cross-handling and gives better control over loading, securing and the arrival sequence. It is usually the first choice for full restaurant or hotel kitchen sets.

• LCL for smaller batches and replenishment. Suitable for spare parts, limited equipment or trial orders, provided that the packing is strong enough for CFS handling and mixed-cargo consolidation.

• Air freight for urgent technical parts. Control boards, sensors, heating elements, motors and critical spare parts can move by air when a kitchen opening or commissioning schedule is at risk.

• OOG or special equipment for custom systems. Large exhaust hoods, long production lines, oversized counters or assembled cold-room modules may require open-top, flat-rack or special trucking planning.

For multi-supplier projects, consolidation in China can reduce duplicated origin charges and improve control. The key is not simply putting all cargo into one container; it is aligning cargo-ready dates, verifying the packing, separating regulated components and preserving the project’s unloading sequence.
