Security gates are increasingly used in office buildings, factories, industrial parks, schools, residential complexes, transport facilities, data centers, and commercial projects across Indonesia. A typical order may include swing gates, flap barriers, tripod turnstiles, full-height turnstiles, card readers, biometric terminals, control boards, power supplies, sensors, cables, mounting bases, software accessories, and replacement parts.
Although many units look robust, they are mixed mechanical and electronic systems. Stainless-steel cabinets can be scratched or deformed, acrylic or glass wings can crack, motors and sensor arrays can shift during handling, and mismatched controllers or readers can delay installation. For project cargo, the main logistics objective is therefore not simply to move boxes from China to Indonesia. It is to keep every lane, component, document, and model configuration complete and installation-ready.

1. 1. Confirm the complete system scope. Collect the commercial invoice, packing list draft, product catalog, model list, photos, specifications, wireless functions, battery information, and delivery address. Separate complete gate systems from spare parts and standalone readers where necessary.
2. 2. Coordinate Chinese suppliers. For multi-supplier projects, arrange pickup from different factories, consolidate the cargo at one warehouse, and check whether gate bodies, glass wings, readers, controllers, cables, and accessories match the purchase order.
3. 3. Inspect before export packing. Verify outer appearance, quantity, model labels, crate numbers, accessory cartons, and visible damage. For project shipments, use a photo record and a crate-by-crate checklist before sealing.
4. 4. Build a packing plan for mechanical and electronic parts. Gate cabinets should be fixed to pallets or crate bases. Glass or acrylic panels should be separated and supported. Electronic modules should be protected from moisture, vibration, and static electricity. Every crate should show the project name, lane number, gross weight, dimensions, and lifting marks.
5. 5. Select sea or air freight by project priority. Sea freight is generally suitable for complete gate systems and larger project quantities. Air freight can be used for urgent control boards, terminals, sensors, or replacement parts, subject to battery and dimension checks.
6. 6. Complete export and import document review. Confirm product descriptions, HS codes, values, quantities, country of origin, consignee qualification, and any controlled-item requirements before departure. This reduces the risk of amendments, storage, or clearance delays.
7. 7. Coordinate arrival and final delivery. Prepare for customs clearance, terminal handling, unloading equipment, delivery appointments, and site restrictions. For fragile or project-critical cargo, plan delivery so the installer can receive and check the crates immediately.

Before shipping, the Indonesian consignee or importer should confirm that its business registration and customs access are valid for the planned import activity. Indonesia Customs explains that a valid NIB can function as the company registration, importer identification, and customs access for importer registration purposes.
The customs declaration should be supported by accurate documents. Indonesia Customs lists documents such as the commercial invoice, packing list, bill of lading or airway bill, product-identification documents, and documents showing fulfillment of import requirements as examples of supporting customs documents.
The exact HS code and import restrictions must be checked against the actual product and model. Security gate shipments often combine metal structures, electric motors, controllers, readers, cameras, scanners, and communication modules, so one general description may not be sufficient. The Indonesia National Single Window should be used to check tariff and restriction information for the proposed classification.
Access control terminals or modules that transmit or receive radio signals - for example certain RFID, NFC, Wi-Fi, Bluetooth, cellular, or other wireless devices - may fall within Indonesia's telecommunications equipment certification framework. Komdigi Regulation No. 3 of 2024 sets the certification framework and includes requirements for certification, labeling, and customs data exchange. The requirement should be confirmed by model, HS code, frequency, and technical function before shipment.

· Commercial invoice: clear product names, brands, models, quantities, unit prices, total value, currency, Incoterm, and country of origin.
· Packing list: crate or carton number, item description, quantity, net weight, gross weight, dimensions, and total volume.
· Bill of lading or airway bill: consistent shipper, consignee, notify party, cargo description, package count, and weight.
· Product identification documents: catalog, specification sheet, model list, photos, function description, and proposed HS code.
· Import compliance documents: certificates, approvals, labels, or other supporting documents required for the confirmed HS code and product function.
· Battery documents, when applicable: battery specification, MSDS, UN38.3 test summary, transport declaration, and compliant packing information for lithium batteries.
· Wood packaging evidence, when applicable: ISPM 15 marks for solid-wood packaging or confirmation that plywood and other exempt materials are used.
· Preferential origin documents, when applicable: certificate of origin and supporting information, subject to the applicable trade agreement and eligibility rules.
