Indonesia has a large and growing installed base of residential and commercial cooling equipment. That creates steady demand not only for complete air conditioners, but also for compressors, fan motors, control boards, copper pipe kits, valves, remote controls, sensors, brackets and other replacement parts. These shipments are often smaller than complete-unit orders, yet they can be more complicated because one consignment may contain dozens or hundreds of different SKUs with different materials, functions and customs classifications.

THE LOGISTICS REALITY

An “air-conditioner parts” shipment is rarely one uniform commodity. A compressor, copper tube, electronic controller and plastic fan blade may all be used in the same machine, but they do not automatically share the same HS code, documentation or packing method.

 

1. Which air-conditioner parts are commonly shipped?

· Compressors and compressor accessories: hermetic compressors, mounts, rubber feet, terminal covers and start components.

· Electrical and control parts: printed circuit boards, inverter modules, capacitors, contactors, relays, sensors, thermostats and wiring harnesses.

· Air-moving components: fan motors, blower wheels, propeller fans, bearings, grilles and louvers.

· Refrigeration-circuit components: condensers, evaporators, expansion valves, four-way valves, capillary tubes, filters and service valves.

· Installation materials: insulated copper line sets, copper fittings, drain hoses, insulation, brackets, vibration pads and fasteners.

· User-interface and casing parts: remote controls, wired controllers, display boards, plastic panels, filters and decorative covers.

Before quoting, request a detailed parts list with the manufacturer part number, English product name, application model, material, voltage or capacity where relevant, quantity, unit weight, carton dimensions and product photographs. Generic descriptions such as “AC spare parts” are not enough for accurate booking or customs preparation.

2. Compatibility control is as important as customs classification

The biggest commercial risk in a spare-parts shipment is often not damage in transit—it is sending the wrong part. Similar-looking components may have different voltage, frequency, connector type, firmware, cooling capacity, refrigerant compatibility or mounting dimensions.

· Match every part number to the air-conditioner model or model family.

· Confirm whether the item is original branded, OEM, compatible aftermarket or unbranded.

· Check 220-240 V / 50 Hz suitability where electrical specifications matter.

· Record connector photographs for control boards, sensors and motors.

· Separate left-hand/right-hand, indoor/outdoor and inverter/non-inverter variants.

· Use barcode labels or a carton-to-SKU packing map for mixed consignments.

BRAND AND INTELLECTUAL-PROPERTY CHECK

For branded replacement parts, keep purchase evidence and clearly state whether the products are genuine, authorized OEM or compatible aftermarket items. Avoid descriptions or packaging that could create trademark or counterfeit concerns during inspection.

3. HS classification: do not declare the entire shipment under one code

Dedicated parts of air-conditioning machines may fall under the parts heading for air-conditioning equipment, but many important components are classified according to their own function or material. Compressors, electric motors, electrical control apparatus, insulated wire, copper tubing and fasteners can belong to different tariff headings even when they are all destined for air-conditioner repair.

· Compressors are normally classified as compressors rather than as generic air-conditioner parts.

· Fan motors may be classified as electric motors, depending on the construction and presentation.

· Control boards and switching assemblies require review of their electrical function and level of assembly.

· Copper line sets and fittings are generally classified according to copper-product rules, not only by end use.

· Plastic panels, brackets, screws and filters may follow their material or specific function.

The commercial invoice and packing list should therefore describe each product group separately. The Indonesia importer and customs broker should confirm the final Indonesian tariff code, duty, tax and any import restrictions before the cargo is collected.

4. Indonesia compliance: complete-unit rules do not automatically cover loose parts

Indonesia’s Minister of Industry Regulation No. 7 of 2025 applies mandatory SNI requirements to specified household electronic products, including defined complete air-conditioner products. A loose compressor, fan motor or control board should not automatically be treated as though it were a complete air conditioner covered by the same certificate.

IMPORTANT DISTINCTION

“Not covered by the complete-unit certificate” does not mean “no compliance check.” Individual components can still be subject to tariff-specific import controls, electrical-product requirements, environmental rules, labeling requirements or technical review. Confirm the exact component and HS code with the Indonesia side.

 

Energy-efficiency labeling generally concerns complete energy-using appliances rather than passive spare parts. However, when a shipment contains complete functional assemblies, kits capable of becoming a complete unit, or mixed parts presented together, the importer should review whether customs may treat the goods according to the complete or unfinished machine rules.

5. Product-specific transport checks

· Compressors: confirm whether the compressor contains lubricating oil, refrigerant, a holding gas or internal pressure. Obtain the specification and SDS when requested by the carrier.

· Electronic boards and inverter modules: use anti-static bags, rigid inner protection and moisture barriers. Do not allow heavy metal parts to share the same unprotected carton.

· Remote controls: confirm whether dry-cell or lithium batteries are included. Battery inclusion can change the declaration and carrier-acceptance process.

· Capacitors and chemical service materials: provide technical data or SDS when the product contains liquid, oil, electrolyte, adhesive or cleaning chemical.

· Copper tubes and coils: protect the ends from dust and moisture, prevent flattening, and support coils so they do not deform under stacking pressure.

· Magnets and motors for air freight: magnetic inspection may be requested depending on the airline and packing configuration.

6. Documents to prepare before export

· Commercial invoice with specific English descriptions, part numbers, brand status, materials, quantity and value by product group.

· Packing list with carton number, SKU range, gross/net weight, dimensions and total CBM.

· Product catalog, photographs, specification sheets and compatibility/model list.

· SDS/MSDS or transport statement for oil-filled, pressurized, chemical-containing or battery-containing items when applicable.

· Country-of-origin documents, including Form E when origin rules and supporting records are satisfied.

· Bill of lading instructions reviewed against the importer’s legal name, tax details, HS-code requirements and destination information.

· Brand authorization, purchase evidence or authenticity records for branded spare parts where appropriate.

· Importer permits or technical approvals confirmed by the Indonesia consignee and customs broker.

A master SKU sheet is highly recommended. It should connect the supplier part number, invoice description, carton number, quantity and customs classification. This single file helps the factory, warehouse, forwarder and destination broker work from the same data.

7. Packaging and consolidation controls

· Separate heavy compressors and motors from fragile electronics. Use pallets or wooden cases for concentrated weight.

· Use anti-static bags, foam inserts and rigid cartons for boards, sensors and displays.

· Seal copper tube ends and support coils with cardboard rings or frames to prevent oval deformation.

· Use small-parts inner boxes and labeled bags for valves, fittings, screws and connectors so pieces are not lost during CFS handling.

· Apply carton numbers, SKU labels, gross weight, dimensions, “This Side Up,” “Fragile” and stacking-limit marks where relevant.

· Use moisture protection and desiccants when appropriate, especially for printed circuit boards and metal parts on long sea routes.

8. LCL or FCL: choose according to cargo mix, not only volume

LCL is practical for urgent replenishment, samples and mixed spare-parts orders, but the shipment will pass through more warehouse handling. Fragile boards, loose copper coils and unpalletized heavy compressors are particularly vulnerable in consolidation.

· Use LCL when the cargo is well packed, clearly labeled and below an economical container volume.

· Ask the co-loader in advance about oil-filled compressors, batteries, chemicals or other special items.

· Use FCL when volumes are larger, the shipment contains many heavy components, or the consignee needs a controlled model-by-model loading sequence.

· Compare total destination charges, CFS handling and damage exposure—not only the ocean-freight rate.

COST-CONTROL TIP

For mixed parts, accurate carton dimensions and gross weights are essential. A quotation based on supplier estimates can change sharply after the warehouse measures the actual cargo, especially when lightweight insulation, bulky plastic panels and dense compressors are combined.

 

9. Common problems that delay air-conditioner parts shipments

· The invoice only says “air-conditioner spare parts” without item-level descriptions.

· One HS code is used for compressors, motors, boards, copper pipes and accessories.

· Part numbers on cartons do not match the invoice or purchase order.

· Remote controls include batteries that were not declared at booking.

· Compressors contain oil or holding gas, but the supplier cannot provide technical data.

· Original branded parts and aftermarket parts are mixed without clear identification.

· Heavy compressors are stacked on fragile electronic cartons.

· The packing list shows total cartons but does not show which SKU is inside each carton.

· Form E descriptions or origins do not match the invoice and production records.

· The Indonesia customs broker receives the detailed parts list only after the vessel has sailed.
