One room is a system—not a collection of boxes.

ECBEC coordinates suppliers, packing, export handling and international transport so locks, controllers, sensors, switches, gateways and accessories arrive together, traceable and ready for project installation.

From Factory Floor to Guestroom Door

Modern hotels rely on an interconnected layer of electronics behind the guest experience. A shipment may include smart door locks, room control units, thermostats, touch panels, lighting modules, curtain motors, occupancy sensors, access cards, gateways, network devices, televisions, minibars and spare parts—often purchased from several factories across China.

The logistics challenge is not simply moving cartons. These projects require component-level visibility, careful protection of sensitive electronics, coordinated cargo readiness, accurate export documents and delivery sequencing that supports the hotel’s installation plan. ECBEC provides a single China-side logistics contact for these moving parts.

What We Ship

Guest Room Management Systems (GRMS): Room controllers, relay modules, gateways, power supplies, touch panels and software-related hardware.

Smart Access and Security: Electronic hotel locks, card encoders, key cards, door sensors, safes, cameras and access-control components.

Lighting, Climate and Energy Control: Thermostats, smart switches, dimmers, occupancy sensors, fan-coil interfaces and curtain-control equipment.

In-Room Electronics: IPTV equipment, hospitality televisions, telephones, speakers, minibars, kettles, control interfaces and charging stations.

Back-of-House Technology: Network devices, POS equipment, printers, UPS units, control cabinets, server accessories and replacement parts.

Why Smart Hotel Projects Need Specialized Logistics

Multiple suppliers, one installation deadline

Hotel technology packages are frequently split among manufacturers in Shenzhen, Dongguan, Guangzhou, Foshan, Ningbo, Shanghai and other industrial areas. Different production dates can create fragmented shipments and hidden storage costs. We can collect from multiple suppliers, consolidate at our China warehouse and release cargo according to the project schedule.

Small components can stop an entire room

A missing power adapter, lock body, mounting plate, cable or programmed card can delay commissioning. Carton counts alone are not enough. Supplier references, purchase-order numbers, room or floor allocation, model numbers and accessory sets should remain identifiable throughout the logistics chain.

Sensitive surfaces and electronics need layered protection

Glass touch panels, displays, metal faceplates and electronic boards are vulnerable to impact, moisture, electrostatic discharge and abrasion. Packaging should match the equipment: anti-static bags for boards, foam separation for panels, corner protection for retail cartons, sealed inner bags with desiccants where appropriate, and strong export cartons or crates for consolidated handling.

Battery and wireless functions affect acceptance

Some locks, remotes, sensors, UPS units and backup modules may contain batteries. Their chemistry, watt-hour rating, packing configuration and test documentation can affect carrier acceptance. Wi-Fi, Bluetooth, Zigbee or other radio-enabled equipment may also require destination-specific compliance checks. Confirm these details before booking—not after cargo reaches the terminal.

Our China-Side Logistics Process

1. Shipment review — We confirm cargo description, HS code, dimensions, gross weight, battery status, Incoterm, cargo-ready date and destination requirements.

2. Supplier coordination — Our team contacts each factory, checks pickup details and builds a consolidated readiness plan.

3. Receiving and verification — Cargo can be received at our warehouse for carton-count checks, exterior inspection, measurement, weighing, labeling and photo records.

4. Packing and consolidation — Where requested, we reinforce cartons, palletize cargo, separate fragile items and group components by PO, hotel area, floor or room sequence.

5. Export and transport — We arrange trucking, export customs handling and air, LCL or FCL transport based on urgency, volume and project risk.

6. Destination handover — We coordinate documents and arrival information with the overseas agent or consignee to support clearance and final delivery.

Choosing the Right Shipping Mode

Final mode selection should consider cargo value, installation criticality, handling risk and required arrival date—not freight cost alone.

Packing and Documentation Checklist

· Commercial invoice and packing list with consistent model descriptions, quantities, values, weights and country of origin.

· HS codes reviewed for the complete system and separately supplied components.

· Battery details and supporting documents provided before carrier approval is requested.

· Carton labels showing PO, supplier, model, quantity and project allocation where relevant.

· Serial-number or barcode records retained for high-value and warranty-controlled equipment.

· Fragile screens, decorative faceplates and circuit boards protected for repeated handling.

· Spare parts separated and labeled so they are not mistaken for installation kits.

· Consignee/import eligibility and destination standards checked before departure.

Practical Risk Controls

Moisture and condensation: Use dry packaging, sealed inner protection and suitable desiccants; consider container moisture control for ocean shipments.

Mixed or missing accessories: Create supplier/PO labels and verify external carton marks before consolidation.

Impact and surface damage: Use molded foam, dividers, corner boards, strong outer cartons and crates where equipment value justifies them.

Schedule mismatch: Build a readiness matrix and identify which parts are opening-critical, allowing urgent pieces to move by air if needed.

Documentation inconsistency: Align invoice, packing list, labels, HS codes and transport documents before customs declaration.
